Client Project Kickoff Agenda and Decision Record

A client project kickoff should confirm the accepted scope, owners, communication, first milestone and unresolved prerequisites. Use the agenda to decide who does what next, then circulate an action record. The meeting does not replace the accepted agreement or resolve an unconfirmed payment condition by itself.

A practical kickoff agenda

  1. Confirm the accepted scope version and the outcome the project should deliver.
  2. Identify the customer approver, everyday contact, delivery owner and specialist contributors.
  3. Review outputs, exclusions and the evidence used to assess completion.
  4. Confirm customer inputs and access arrangements without putting credentials in meeting notes.
  5. Map dependencies and explain which dates are conditional.
  6. Agree update channels, decision requests and how proposed changes are assessed.
  7. Read back the first actions, owners and review dates.

Send the scope and questions beforehand. Do not use the meeting to obtain a vague agreement to work nobody has described.

Copy the decision and action record

Decision: subject | options considered | accepted choice | approver | date | conditions. Action: specific task | owner | required input | agreed date | completion evidence. Open question: unknown fact | who will clarify | effect if unresolved.

Keep these as separate entries. “Discussed content” is not a decision that content is approved, and an action assigned to a person is not evidence it has been completed.

A fictional website kickoff

Three customer colleagues attend. Morgan supplies service details; Alex checks photographs; Taylor alone approves final content. The delivery owner records Taylor as approver rather than treating every attendee as interchangeable.

The first action is Morgan’s approved service outline by Wednesday. The layout review depends on receiving it. The launch forecast remains conditional on content approval and the agreed domain process. A proposed extra language goes into change assessment, not silently into the original scope.

Finish by resolving disagreement

Ask each owner to confirm the actions attributed to them. If participants disagree about an inclusion, refer to the accepted scope and record the question for resolution before that work starts.

Share one authoritative summary and invite corrections to factual errors. A kickoff note organises execution; it does not replace the contract or give every meeting attendee authority to change commercial terms.
