Practical working guide
How to write CRM activity notes another person can use
Write a CRM activity note with the interaction date, relevant facts, customer decision and next action with an owner. Separate observation from interpretation and keep only information needed for the work. The next colleague should know what happened without relying on your memory.
Rewrite vague or judgemental notes
| Avoid | Write instead |
|---|---|
| Customer difficult | Customer asked for a written breakdown before deciding. |
| Called, no update | Called at 10:15; no answer; next attempt assigned to Jo at agreed time. |
| Deal almost won | Customer is reviewing v2; decision not confirmed. |
| See email | Customer requested revised timing; relevant message linked. |
A complete note in four sentences
Fictional example: “29 October, 14:00: spoke with the confirmed project contact about Q-104 v2. They asked whether installation could move to the following week; they did not approve the quote. Delivery coordinator will check capacity by Friday and reply through the agreed email thread. No booking has been made.” This note distinguishes a request, a decision still pending and an accountable action.
Keep notes reliable over time
Link source records without copying passwords, payment credentials or unrelated personal details into notes. Use your organisation’s access and retention rules. Correct factual errors with a dated explanation rather than silently changing a past customer decision. During handover, review the open action and its owner; a long note history is not a substitute for a current next step.
Record the actual interaction date separately when entering a note later; otherwise handover chronology can become misleading.
