How to reschedule a service appointment without losing the details
Reschedule a service appointment by checking the impact, agreeing a replacement and confirming which original booking it replaces. Preserve the original time and reason in the record. Moving a calendar entry alone does not confirm that the customer, team and dependent suppliers can attend.
Use a before-and-after record
| Item | Details |
|---|---|
| Appointment | Original: Reference, date and time zone Replacement check: Same job, proposed date and duration |
| Access | Original: Named contact and restrictions Replacement check: Confirm contact can attend |
| Resources | Original: Team, equipment and supplier slots Replacement check: Recheck each reservation |
| Decision | Original: Reason for change Replacement check: Who agreed, when and through which channel |
Confirm what is still provisional
Fictional example: a technician is unavailable Tuesday. The customer accepts Thursday, but the access contact is away. Keep Thursday as proposed until another authorised contact confirms access. Send: “We are proposing [new time] to replace [original reference]. Access is still awaiting confirmation from [person]. We will confirm the appointment once that is resolved.” Do not send both “confirmed” and “pending” for the same condition.
Close the old booking cleanly
Once confirmed, update the existing job reference, notify affected people and cancel obsolete reminders or resource reservations. Keep a history instead of creating a second live appointment. Review any commercial consequences against the actual agreed terms; this checklist neither sets cancellation fees nor gives a right to change them. If the replacement fails, reopen the decision with its history intact.
